How to save LinkedIn® profiles to Excel or Google Sheets

Three ways to get the people you find on LinkedIn into a spreadsheet: by hand, with LinkedIn's own data export, or by saving them to a CRM and exporting from there.

See the extension on the Chrome Web Store

A spreadsheet is the most common place to keep a list of candidates or prospects from LinkedIn. It is free and everyone can use it. The work is in getting each profile into it and keeping the list tidy as it grows.

1. By hand

This works for any profile and costs nothing. Set up the sheet once, then add a row for each person.

  1. Set up the columns

Name, title, company, location, profile link, status, notes and next follow-up date.

  2. Copy from the profile

Open the profile and copy the name, headline and current company into the row.

  3. Copy the profile link

Copy the address from your browser's address bar, for example linkedin.com/in/name.

Tips that keep the sheet usable

  • ▸Treat the profile link as the unique key: before adding someone, search the sheet for their link so you do not add them twice.
  • ▸Make the status column a drop-down list (Data → Data validation) so everyone uses the same stages.
  • ▸Use conditional formatting on the follow-up date column to highlight dates that have passed.
  • ▸Remove tracking parts after the question mark in profile links, so the same person always has the same link.

2. LinkedIn's own data export (your connections only)

LinkedIn lets you download a copy of your own data. One of the files is a list of your connections that opens in Excel or Google Sheets.

  1. On LinkedIn, open Settings & Privacy, then Data privacy.
  2. Choose "Get a copy of your data" and select Connections.
  3. Request the archive. LinkedIn emails you when the file is ready.

The file contains first name, last name, profile link, company, position and the date you connected. Email addresses are included only for connections who allow it. It only covers people you are connected with, not the candidates or prospects you found but have not connected with yet.

A note on tools that collect profiles automatically

Some tools open many profiles on their own and copy them into a sheet in bulk. LinkedIn's User Agreement does not allow collecting data from the site with bots or scripts, and accounts using such tools can be restricted.

LinkTrack does not work this way: it does not browse LinkedIn on its own, send messages or send connection requests. It saves only the profile you have open, when you click.

3. Save to LinkTrack, export to Excel when you need it

If you add people often, copying by hand is where the time goes. LinkTrack fills in the profile details for you and keeps the list; on the Individual and Team plans you can export it as a spreadsheet at any time.

  1. Open the profile

Go to the person's LinkedIn profile with the Chrome extension installed.

  2. Save it

Click "Get details", then "Save to LinkTrack". Name, title, company, location, education and experience are filled in.

  3. Export

On the Leads page, download your list as Excel or CSV. Export is available on the Individual and Team plans.

The export includes name, title, company, location, education, email, phone, profile link, notes, tags, score, category, stage and the date added. Email and phone are fields you fill in yourself; LinkTrack does not collect them from LinkedIn.

For Google Sheets, import the downloaded CSV file there. On the same plans you can also connect LinkTrack to Zapier and add every new person to a Google Sheets row automatically.

Which one when?

  • ▸A few profiles a month: the manual sheet is enough.
  • ▸You need a list of the people you are already connected with: use LinkedIn's data export.
  • ▸You save profiles every week and follow up with them: save them to a CRM so the details are filled in and follow-ups are reminded, and export to Excel when you need the sheet.

Frequently asked questions

Can I export LinkedIn profiles to Excel for free?

Yes, two ways are free: copy profiles by hand, or download your own connections with LinkedIn's data export. Exporting the people you save in LinkTrack to Excel or CSV is available on the Individual and Team plans.

Can I bring my existing spreadsheet into LinkTrack?

Yes. You can import a CSV or Excel file, and the same LinkedIn profile is not added twice. Bulk import is available on the Individual and Team plans.

Does LinkTrack collect email addresses from LinkedIn?

No. LinkTrack saves the details shown on the profile you open. Email and phone are fields you fill in yourself.

Can I export LinkedIn company pages to Excel?

LinkTrack saves people, not company pages. Each person you save keeps their current company, so the export gives you a list of people with a company column you can sort and filter. To keep a list of companies themselves, add the company name and its page link (linkedin.com/company/name) to your sheet by hand.

Does LinkTrack do anything on my LinkedIn account?

LinkTrack does not automate anything on LinkedIn: it sends no messages or connection requests and does not browse pages on its own. It saves only the profile you open, when you click.
